NexFlow
An enterprise workflow automation platform for complex multi-step approval and operational processes that span multiple systems — providing a visual designer, rules engine, and integration connectors.
The problem
Enterprise operations run on email chains and spreadsheets
Enterprise operations rely on complex multi-step approval and workflow processes that span multiple systems — HR platforms, ERP systems, financial controls, legal review, IT provisioning. In practice, the coordination between these systems is almost always done through email, PDF forms, shared drives, and manual spreadsheet trackers.
Each stage in a process involves someone reading an email, taking an action in another system, and sending a follow-up email to the next person. When an approver is out of office, requests stall. When the process logic changes, it changes informally — through verbal agreements and email threads rather than system configuration. When compliance needs evidence of process adherence, there's no audit trail — just a mailbox that might still have the relevant emails.
NexFlow replaces this with structured, auditable workflows that can be modelled visually, connected to the systems they interact with, and adapted by operations teams without writing code.
Capabilities
What NexFlow provides
Visual workflow designer
Drag-and-drop workflow design with conditional branching, parallel execution paths, wait states, and escalation rules. Process designers work in a canvas — no code required.
Business rules engine
Configurable decision tables that determine routing, approval thresholds, and process logic. Business teams maintain rules through a table interface without engineering involvement.
40+ pre-built connectors
Production-ready connectors for SAP, Salesforce, ServiceNow, Workday, Microsoft 365, Slack, and more. New integrations use the REST API connector for systems not covered by the pre-built library.
Role-based task assignment
Tasks are assigned to roles, groups, or specific individuals with configurable delegation rules. When an approver is unavailable, NexFlow routes to their designated delegate automatically.
Full audit trail
Every state transition, approval, rejection, and modification is logged with timestamp, actor, and rationale. Compliance-ready reports are generated from the audit log without additional configuration.
REST API for custom integration
Full REST API for triggering workflows, querying workflow state, and embedding NexFlow task interfaces within existing internal portals and enterprise applications.
Use cases
How organisations use NexFlow
Capital expenditure approvals
CapEx requests routing through departmental budget owners, finance review, and executive sign-off based on request value thresholds — with automatic escalation when approvers are unresponsive and a full approval chain audit trail for finance reporting.
Employee onboarding
Coordinating the IT provisioning, HR system setup, facilities access, and equipment ordering that must happen across multiple systems and teams when a new employee joins — with visibility into where each stage stands and automatic follow-up when tasks are overdue.
Contract review and sign-off
Routing contracts through business stakeholder review, legal review, and executive approval — with redline tracking integration, version-controlled document handling, and a complete record of who approved what version of the contract on which date.
Regulatory change management
Tracking regulatory changes from identification through impact assessment, policy update, training, and attestation — ensuring each change has a documented owner, review completion evidence, and a compliance-reportable close-out record.

Common questions
Frequently asked questions
For SaaS deployments, tenant provisioning takes under 24 hours. SSO configuration typically takes one day with your IT team. The first workflow can be live in production within a week of start — including process design, connector configuration, and user acceptance testing. On-premise deployments require Kubernetes infrastructure and typically take two to four weeks from contract to production, depending on your infrastructure team's availability.
Yes — that's a core design objective. Process designers can modify workflow logic, update routing rules, adjust approval thresholds in the rules engine, and add or remove steps using the visual canvas without writing code. IT involvement is needed when adding a new system connector for the first time or when changes require access to systems outside the existing connector configuration. Day-to-day process maintenance is owned by operations teams.
NexFlow uses versioned workflow definitions. When you publish a new version of a process, in-progress instances continue running on the version they were started with. New instances use the new version. This prevents mid-flight workflow disruption when process rules change. You can optionally migrate in-flight instances to a new version at defined safe points — for example, when an instance completes a major stage — if the process change is urgent and backward-compatible.
The audit log captures every state transition with: timestamp, user identity, action taken, rationale (if provided), system integrations triggered, and data inputs at the time of the action. It's immutable — entries cannot be modified or deleted. Reports can be generated in PDF or CSV format from the NexFlow dashboard, filtered by workflow type, date range, user, or outcome. The audit trail is also available via API for integration into your GRC tooling or SIEM.
General-purpose BPM platforms aim to cover everything from simple approvals to complex operational orchestration. That breadth creates significant configuration complexity. NexFlow is specifically designed for multi-step approval and operational coordination workflows in enterprise environments — the connector library, rules engine, and audit capabilities are all optimised for that use case rather than being generic. We also differ from low-code platforms in that NexFlow doesn't try to replace application development — it focuses exclusively on workflow coordination and is designed to integrate with your existing systems rather than replace them.
